Vacant position: Financial Administrator

Scope of the position: This is a contract appointment, 15 hours per week.

Duties and responsibilities

Basic responsibility

The maintenance and operation of the FSSO Company’s financial system in respect of its annual and strategic plans, as well as maximising the running of the FSSO office and the efficient functioning of all FSSO staff, ensembles and activities.

Core responsibilities

  1. Overall financial record keeping, reporting and income-and-expenditure oversight of the FSSO Company and its activities.
  2. Participation in, and provision of relevant inputs for, annual planning.
  3. Creating required budgets, after consultation with the Artistic Director, for all events and funding applications in which the FSSO or the Free State Youth Orchestra (FSYO) will take part.
  4. Monitoring and managing the FSSO company’s contracts, income and expenses within the context of the UFS financial system and the FSSO’s financial rules, in consultation with the FSSO accountants/auditors.
  5. Executing monthly debit order runs on an online bank debit-order system and reconciling all donations.
  6. Issuing annual Section 18A tax certificates to patrons and donors, in cooperation with the FSSO’s accountants/auditors.
  7. Providing accurate financial reports and clear management information for the company and Board on a monthly basis, or as required.
  8. Coordinating the compilation of funding applications (including budgets) and reports to public and private donor organisations, funders, patrons, foundations, etc.
  9. Collecting and distributing, for reporting purposes, financial and other information to funding agencies and government agencies such as SARS.
  10. Maintaining good relations and communication with all parties relevant to the financial workings and future of the FSSO.
  11. Creating and maintaining easily accessible databases for all financially relevant aspects of the FSSO Company, including musicians, vendors, accommodation, transport, FSSO board and management.

The Financial Administrator must be flexible in his/her position and tasks, given the small and largely part-time FSSO staff complement. Additional tasks are to be handled in a cooperative way as and when required.

Inherent requirements

  • A BCom or similar bachelor’s degree (or tertiary diploma at NQF level 7) with accounting or financial management/administration as substantive or major subjects.
  • Three (3) to five (5) years' relevant work experience in accounting or financial administration.

 Required competencies

  • Willingness and ability to work as part of a team that promotes a love of music, the development of a new generation of musicians, and excellence in performance.
  • Proven financial and managerial skills and experience in an office or corporate environment.
  • Knowledge of financial and HR systems.
  • Solid computer skills, including MS Office and the internet.
  • Ability to work independently, identify and initiate tasks, find solutions and produce results on time.
  • Ability to deal with high-intensity work under deadline pressure.
  • Insistence on accuracy and attention to detail.
  • Conscientious and a clear sense of accountability.
  • Confident, self-motivated and a self-starter.
  • Being results oriented and forward thinking.
  • Good writing skills for writing reports, etc.
  • Good people skills and ability to deal with stakeholders in the music, university, business and government worlds.


  • Knowledge and experience of working with the UFS financial and administrative policies and systems, including PeopleSoft, will be a strong recommendation.
  • A background in classical music or the creative arts is desirable.

Salary and benefits

The starting salary is R11 000 per month for 15 hours per week. Annual inflation adjustments normally occur. There is provision for leave and a 13th cheque. No other benefits.

This is a contract appointment with the FSSO Company. It is NOT an appointment at the University of the Free State. Contracts normally are for three-year cycles, following a one-year probation period. Continued employment is subject to performance and the availability of sufficient funding for the FSSO to operate.

The Free State Symphony Orchestra, established in 1974, presents regular symphony and youth orchestra concerts as part of its music-educational pipeline activities. It is hosted at the Odeion by the University of the Free State and receives administrative and logistical support from the UFS.

The FSSO is a non-profit and public-benefit organisation, dependent on funding from public, university, corporate and individual donors.
